- The Klamna app turns your phone into an extension on the company PBX: you receive and make calls on the company number, not your personal one.
- The same app holds the WhatsApp and other channels inbox and the customer's CRM record.
- The Android app and the Windows and Mac apps are available now; the iPhone app is coming soon.
- Calls reach you by notification even when the app is closed, you can hold and transfer from the phone, and you can paste any number straight into the dialpad.
The field sales rep, the branch manager moving between sites, the support agent who works from home two days a week: they all face the same problem. Company calls are on the office phone, WhatsApp is on an old company handset, and the customer record is on the laptop. So everyone calls from their personal mobile, customers save the employee's number instead of the company's, and when the employee leaves, the customers leave too.
A call center app for your phone solves this at the root: the company keeps ownership of the number, the conversations and the history, and staff work from anywhere. This article explains what the Klamna app does, how to roll it out to your team, and how mobile and desktop differ.
Most importantly, the app is not a separate tool: it is the same Klamna platform that holds the PBX, call center, WhatsApp and CRM, so everything an employee does from their phone is visible to the team and management at the same moment.
Why staff need an app instead of their personal phone
Using a personal phone for work looks like a quick fix, but it quietly costs the company a lot:
- Not the company number: the customer bonds with the employee, and when the employee moves on you lose the relationship.
- No recording or reports: you do not know how many calls the rep made or what was said.
- Customer data on personal WhatsApp: prices, offers and ID photos on one person's phone with no oversight.
- No continuity: if the employee is on leave, nobody can pick up the conversation.
With the app, staff use their phone as a tool, but everything goes through the company system and stays there.
What can you do in the Klamna mobile app?
| Feature | What it means for you |
|---|---|
| PBX extension on the phone | Receive extension and queue calls and call out showing the company number |
| Call notifications | Calls arrive as notifications even when the app is not open |
| Hold and transfer | Put the customer on hold or transfer to a colleague directly or after speaking to them first |
| Paste a number into the dialpad | Copy a number from a message or e-mail, paste it and call at once |
| Inbox | Reply on WhatsApp, Instagram, Messenger, Telegram and website chat from the same app |
| Customer record | See history, notes and earlier calls and chats before you answer |
| WhatsApp from the dialpad | Open a WhatsApp chat with the number from the same place you call from |
| Choose the server address | The app connects to your company's server, set at login |
Android, Windows and Mac, with iPhone coming soon
The goal is that each person works from the device that suits the job:
- Android: the full mobile app: calls, inbox and CRM.
- Windows and Mac: desktop apps for office and call-center staff, with the same interface as the browser, system notifications and a standalone window without browser tabs.
- Browser: everything also works directly in the browser with nothing to install.
- iPhone: the app is coming soon; until then iPhone users can use the browser or the desktop app.
Details and download links are on the mobile and desktop apps page.
How does a call reach the phone?
The question we hear most: "If the app is closed, will the call still reach me?" Yes. When a call comes to your extension or a queue you belong to, the system sends a notification to the phone, the app wakes up and shows the call. You can also set the extension to ring the phone and the office device together; whoever answers first takes it.
All of this runs through the same cloud PBX, which means:
- The call is recorded according to your company's recording policy.
- It appears in call reports and the call journey like any extension.
- The customer sees the company number (such as your 9200 unified number or landline), not the employee's mobile.
- Supervisors can monitor and listen according to their permissions.
Who benefits most?
| Role | How they use the app |
|---|---|
| Field sales rep | Calls customers on the company number, checks the record before a visit, replies to WhatsApp between meetings |
| Remote support agent | Takes queue calls and WhatsApp chats from home with office-level quality |
| Branch manager or owner | Answers important calls and follows conversations away from the desk |
| Technician or delivery staff | Contacts customers on the company number without giving out a personal number |
| Real-estate agent | Receives their own customers' calls directly and sends location and brochure on WhatsApp after the call |
Mobile or desktop: which suits each employee?
There is no single answer for the whole team. The simple rule: people who sit at a desk all day need a big screen and a headset; people on the move need the phone. Many staff use both: desktop during working hours, mobile after hours or on visits.
| Situation | Best fit | Why |
|---|---|---|
| Call-center agent taking calls all shift | Windows or Mac app with a headset | More comfortable, with a big screen for the customer record and chats together |
| Chat agent handling dozens of conversations | Desktop or browser | Faster typing with a keyboard and canned replies |
| Field rep or real-estate agent | Android app | Calls, WhatsApp and the customer record everywhere |
| Manager following up away from the office | Mobile | Answers what matters without opening a laptop |
| Working from home | Desktop first, mobile as backup | More stable, and if home internet drops they continue on mobile data |
Example: a field rep's day with the app
A sales rep for a supply company in Jeddah has five visits today. Before the first one he opens the customer record in the app and sees the last quotation and the last WhatsApp chat with customer service. On the road his phone rings: a customer called the unified number and chose "Sales", and the call rang the rep because he owns that customer. He answers, agrees a meeting, and after the call sends the location on WhatsApp from the same app.
In the afternoon a customer texts him a colleague's number: he copies it, pastes it into the dialpad and calls at once on the company number. At the end of the day his manager sees all these calls and chats in the reports without the rep writing a single manual report. And if he needs to pass a customer to support, he transfers the call from his phone directly or after speaking to the colleague first.
Rolling the app out to your team
- Create a user for each employee in Klamna, linked to an extension and permissions that fit the role.
- Download the app from the apps page (Android, Windows, Mac).
- Log in with the user details and server address, and enable two-factor authentication if your company requires it.
- Allow notifications and microphone so calls reach you and the customer can hear you.
- Set ringing: phone only, or phone and office device together.
- Test an inbound and an outbound call and confirm the customer sees the company number.
Security: what if a phone is lost or an employee leaves?
This is where the app really differs from a personal phone. Because everything is stored in the company system:
- You disable the employee's account from the admin panel; they are logged out and cannot log back in.
- Conversations, calls and notes stay on the customer record, and a replacement continues from the same point.
- Permissions decide what each person sees; for example a rep sees only their own customers.
- Two-factor authentication stops anyone logging in with a stolen password.
For companies that want to track remote staff attendance, there is attendance and shifts: when an employee starts a shift they join their queues and become available for chats automatically.
For supervisors: every mobile call appears in the monitoring wallboard and reports exactly like office calls.
Common mistakes when rolling out the app
- Aggressive battery saving: some Android phones stop background apps. Exclude Klamna from battery optimisation so you never miss a call.
- Notifications not allowed: without them, calls cannot reach you while the app is closed.
- Weak public Wi-Fi: mobile data or a trusted network is better.
- Personal WhatsApp still used for work: move customers gradually to the company number and make it clear that official conversations happen in the app only.

FAQ
Do I need a new SIM or number?
No. The app works over the internet and calls go out on the company number. You can use a virtual number, your unified number or your existing numbers once connected.
When is the iPhone app coming?
The iPhone app is coming soon. For now, iPhone users use the browser or the Windows and Mac apps.
Can I reply to WhatsApp from the app?
Yes. The full inbox is in the app: WhatsApp and other channels, with files and canned replies.
Are calls from the phone recorded?
Yes, if recording is enabled for the extension, because the call goes through the PBX like any other. See call recording.
Does it use a lot of data?
A voice call uses a small amount of data, far less than a video call.
