What Is a Cloud PBX? The Complete Guide for Businesses

What a cloud PBX is and how it works: features, SAR costs, who needs it, how to choose a provider and how to migrate without downtime in Saudi Arabia.

Quick summary
  • A cloud PBX is a business phone system that runs online instead of on a box in your office; staff answer from a browser, mobile app or desk phone.
  • You get every classic PBX feature (transfers, IVR, recording, queues) without buying hardware or paying for maintenance.
  • With Klamna it starts at SAR 90 per user per month (prices in SAR, excluding VAT).

A cloud PBX manages your company calls from the cloud: it answers your main number, plays the IVR menu and routes callers to the right person, wherever they work. This guide explains how it works, what it costs in Saudi Arabia and how to choose and migrate.

What is a cloud PBX?

A traditional PBX is a physical box that needs cabling, a technician and maintenance. A cloud PBX runs on the provider's servers and is managed from a web dashboard. Every employee gets an extension they can use from the browser, the Android app (iPhone app coming soon), the Windows/Mac desktop app or a SIP desk phone such as Grandstream or Yealink.

How does it work?

  1. Your 9200, 800 or landline number is connected through a licensed carrier.
  2. The PBX checks business hours and holidays.
  3. The IVR guides the caller to sales, support or another department.
  4. The call goes to a queue or extension and is recorded.
  5. Unanswered calls go to voicemail (sent by email) or appear as missed calls to call back.

Key features in Klamna

  • Multi-level IVR, time conditions, business hours and holidays.
  • Call recording and archive, voicemail to email, conference, paging and intercom.
  • Blind and attended transfer, call pickup, forwarding, DND, hold music.
  • Caller ID per extension and calling permissions (internal, mobile, international).
  • A call-journey diagram per call and reports on rush hours, peak concurrent calls, missed calls and call-back status.

As you grow, add call center features such as smart queues, a live wallboard and listen/whisper/barge on the same platform. See the Klamna cloud PBX.

How much does a cloud PBX cost?

Klamna call center / cloud PBX costs SAR 90 per user per month; yearly plans get two months free; calls are billed per second; number fees depend on the carrier and number type. Example: 8 users = SAR 720 per month plus usage. Prices are in SAR and exclude VAT. See pricing and cloud vs traditional PBX.

Is a cloud PBX secure?

It depends on the provider. Check where servers are (Klamna keeps data in Saudi Arabia), who can listen to or download recordings, and whether you can restrict international calling per extension to avoid unexpected bills. Read our guide to call recording and data protection.

Who needs it?

  • Companies with branches: one PBX links every city, with free internal transfers between branches.
  • Remote and field teams: a sales rep answers the company number from their mobile.
  • Clinics, restaurants and online stores: IVR, business hours and recording on every call. See clinic solutions.
  • Start-ups: start with two users and grow without changing systems.
  • Teams planning a call center: begin with a PBX and expand to a full call center on the same platform.

Common mistakes to avoid: choosing on price alone, ignoring office internet quality, building a long and confusing IVR (see our IVR design guide) and leaving missed calls without an owner.

How to choose a provider

  • Licensed by the Communications, Space & Technology Commission (Etisalna is).
  • Data hosted in Saudi Arabia (Klamna runs on Alibaba Cloud Riyadh) and aligned with cybersecurity requirements. See trust & security.
  • Supports 9200, 800 and landline numbers, transparent per-user pricing, and integration with WhatsApp and CRM.
  • Arabic support and a free trial.

Migration steps

  1. List users, numbers, departments and phones.
  2. Design the call flow: greeting, IVR, hours, fallback.
  3. Create extensions and queues; connect SIP phones, browser or apps.
  4. Connect or port your number, test every path, train staff, then go live.

Full plan: moving from an on-premise or IP PBX to the cloud.

FAQ

Do I need special hardware?

No. A browser or app is enough; any SIP desk phone also works.

Can I keep my current number?

Usually yes, through the licensed carrier; number fees depend on the carrier and number type.

What if the office internet goes down?

The PBX lives in the cloud, so staff can keep answering on the mobile app or calls can be forwarded to mobiles.

Where are recordings stored?

Inside Saudi Arabia, on Alibaba Cloud Riyadh.
